Terms of hire

These terms apply to every hire of equipment from ClimaHire ("we", "us"). By booking, you agree to them. They're written in plain English on purpose — if anything is unclear, email help@climahire.com before you book.
1. The hire
- We hire you the equipment listed in your booking for the hire period you choose. The equipment stays our property at all times.
- The hire period runs from the day of delivery to the day of collection, inclusive of both. You can extend by the day by emailing us before the hire ends; extensions are charged at the daily rate shown on the site.
- Hire is available to businesses and private individuals aged 18 or over in our delivery area.
2. Prices and payment
- All prices on the site include VAT at 20%. The price shown when you book is the price you pay, plus any delivery fee shown.
- Payment is taken in full at the time of booking by card through Stripe. We don't open credit accounts for one-off hires; trade customers can ask about monthly invoicing.
- When your card is charged, we may also place a refundable pre-authorisation of between £100 and £250, depending on the equipment, as a security deposit. It is released within 7 days of collection provided the equipment comes back complete and undamaged (see section 6).
- Multi-week hires are discounted automatically at the time of booking. Discounts aren't applied retrospectively to extensions.
3. Delivery and collection
- We deliver and collect within Brighton, Hove and the surrounding Sussex area. Delivery and collection are free on orders of £120 or more; below that, the fee shown at checkout applies (£15 in Brighton & Hove, £25 elsewhere in our area).
- Same-day delivery is available for bookings confirmed by 3pm, subject to availability. Otherwise we'll confirm a delivery slot by text or email.
- Delivery is to the ground-floor entrance of the address you give us, or as close as our vehicle can safely get. Someone aged 18 or over must be present to accept the equipment and to hand it back at collection.
- If we can't deliver or collect because nobody is there, or access isn't as described, we'll charge a repeat visit at the applicable delivery fee.
- Some equipment is heavy (the industrial air conditioner weighs 111 kg). It's your responsibility to tell us about stairs, steps, narrow doors or lifts when booking, and to have help available to move it inside.
4. Cancellations and changes
- Free cancellation up to 4pm on the day before your delivery date — we refund in full, including the deposit pre-authorisation.
- Cancellations after that but before the equipment is dispatched are refunded minus one day's hire.
- Once the equipment is on its way or delivered, the first day's hire and the delivery fee are non-refundable. Ending a hire early is charged at the days actually used plus one day.
- If we can't fulfil your booking (for example a unit fails our pre-hire check and no replacement is available), we'll tell you as soon as we know and refund you in full. That's the limit of our liability for a cancelled booking.
- To cancel or change a booking, email help@climahire.com quoting your booking details.
5. Using the equipment
- Use the equipment only for its intended purpose, indoors unless we've said otherwise, and following the quick-start guide supplied with it.
- You're responsible for providing a suitable power supply. Each product page states what's needed (for example a standard 13 A socket, a 16 A commando socket, or a three-phase supply). Don't run heaters from extension leads or multi-way adaptors.
- Portable air conditioners must be vented to outside through the hose and window kit supplied. Dehumidifiers with a drain hose must drain to a suitable outlet.
- Don't modify, open, repair or move the equipment to a different address without our agreement. Don't sub-hire it or let anyone else use it.
- Keep the equipment reasonably clean and protected from weather, water and theft. It is in your care from delivery until we collect it.
6. Damage, loss and breakdown
- We check and clean every unit before each hire. If it stops working during your hire through no fault of yours, email us: within our free-delivery area we'll repair or replace it the same day where we can, and you won't be charged for the time it was out of action.
- If the equipment is lost, stolen, or returned damaged beyond fair wear and tear, you're liable for the cost of repair or, if it can't be economically repaired, its replacement value. We'll deduct this from the deposit pre-authorisation first and invoice you for any balance. Replacement values are available on request before you book.
- Missing accessories (hoses, window kits, leads, remote controls, filters) are charged at cost.
- Fair wear and tear means the normal marks of careful use. It doesn't include cracked casings, bent grilles, cut cables, blocked filters from unfiltered use, or water damage.
7. Our liability
- The equipment is supplied for temporary comfort and drying. It is not a substitute for a permanent installation, and we don't guarantee a particular temperature or drying time — those depend on your building, weather and how the equipment is used.
- We aren't liable for losses that weren't foreseeable when you booked, for business losses such as lost trade or profit, or for damage caused by using the equipment contrary to these terms or the guide supplied.
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit.
- Where we are liable, our total liability for any hire is limited to the amount you paid for that hire.
8. Waitlist and pre-launch bookings
While we're building our fleet, some equipment is offered on a waitlist rather than for immediate booking. Joining the waitlist doesn't create a contract and no payment is taken. We'll contact you when the equipment is available; you can then book under these terms or decline.
9. General
- These terms are governed by the law of England and Wales, and any dispute will be dealt with by the courts of England and Wales.
- If any part of these terms is found to be unenforceable, the rest still applies.
- We may update these terms from time to time. The version in force when you book is the one that applies to that hire.
