Privacy policy

This explains what personal information ClimaHire collects when you use climahire.com, why, and what we do with it. We keep it to what's needed to quote, deliver and look after your hire. Questions: help@climahire.com.
Who we are
ClimaHire hires out temporary cooling, heating and drying equipment in Brighton, Hove and Sussex. We are the data controller for the information described here. Contact us at help@climahire.com.
What we collect and why
| Getting a price | Your postcode, the equipment, dates and room size you enter. Used only to calculate the quote shown on screen. Not stored unless you go on to book, join the waitlist or send a message. |

| Booking or joining the waitlist | Name, email, phone, company (optional), delivery address, the quote details and any notes you add. Used to fulfil or follow up the hire, confirm delivery slots and contact you if there's a problem. Lawful basis: performing a contract with you, or taking steps you've asked for before one. |
| Contact form | Name, email, phone, company (optional) and your message. Used to reply to you. Lawful basis: our legitimate interest in answering enquiries. |
| Payment | Card details are entered on Stripe's secure checkout page and never reach our systems. We receive confirmation of payment, the last four digits of the card and your email from Stripe. Lawful basis: performing the contract. |

| Technical data | Our web server records the IP address, pages requested, browser type and time of each visit in standard server logs, used for security and to keep the site working. We don't run analytics or advertising trackers at present. |
Cookies and local storage
We don't set tracking or advertising cookies. The site uses your browser's local storage for one thing: if a form submission fails to reach us, a copy is kept in your browser so nothing is lost. It stays on your device and isn't sent anywhere else. Stripe's checkout page sets its own cookies for fraud prevention, covered by Stripe's privacy policy.
Who we share it with
- Stripe — processes card payments. Your payment details go directly to Stripe.
- Amazon Web Services (London region) — hosts the website, stores booking, waitlist and enquiry records, and delivers our email. Email sent to help@climahire.com is received by AWS and forwarded to the mailboxes we read it from.
- We don't sell or rent your information, and we don't share it with anyone else unless the law requires it.
How long we keep it
- Booking records: 6 years after the hire, as required for tax and accounting.
- Waitlist and enquiry records: up to 24 months, or until you ask us to delete them.
- Emails to help@: copies held on AWS for 30 days, then deleted; copies in our mailboxes are kept as long as needed to deal with your enquiry.
- Server logs: 30 days.
Your rights
Under UK data protection law you can ask us to confirm what personal data we hold about you, to correct it, to delete it, to restrict how we use it, or to send it to you in a portable format. You can also object to processing based on legitimate interests. Email help@climahire.com and we'll respond within one month. If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Marketing
We'll only email you about your hire, your waitlist request or your enquiry. If we ever want to send marketing, we'll ask first, and every message will have an unsubscribe link.
Changes
We'll update this page if our practices change and update the date at the top. See also our terms of hire.
